How to put a person on your roster, take them off, correct a date, and what the staff page does not record

What a staff member is

A staff member is a contact with an open engagement.

An engagement is a period when that person works for you. It can have a start day, an end day and a note.

Staff do not need logins. A packer, seasonal instructor, rigger or driver can be staff even if they never sign in.

KitNDocs uses the contact name. If you correct the contact, the staff page shows the new name.

Put somebody on the roster

  1. Open the Staff page.
  2. In Put somebody on the roster, type part of the name.
  3. Select the person.
  4. Give the day they started, or leave it empty.
  5. Add a note if it helps.
  6. Select Add to the roster.

If the person is not in your contacts, select the row that adds them as a new contact. KitNDocs creates the contact and starts the engagement in one act.

KitNDocs does not join names by itself. If two contacts have similar names, read the options and choose the right one.

Start days

Leave the start day empty when you do not know it. The roster then says Record begins here. That means your record starts here, not that the person started here.

You can give a future start day. Use this for somebody who has agreed to start later. They appear under Not started yet until that day.

Put a contact on the roster

You can also start from the Contacts page.

  1. Open Contacts.
  2. Find the person.
  3. Select Put on the roster.
  4. Give the start day, or leave it empty.
  5. Add a note if it helps.
  6. Select the button that adds them to the roster.

The Contacts page can only use contacts you already have. To add a new person while you put them on the roster, use the Staff page.

Take somebody off the roster

  1. Open the Staff page.
  2. Find the person under On the roster.
  3. Select Change.
  4. Give the day they left.
  5. Select the button that takes them off the roster.

A future end day is allowed. Use it for a notice period. The person stays on the roster until that day, and leaves it the day after.

The ended engagement moves to Earlier engagements. KitNDocs keeps the period they worked for you.

The note is free text. There is no list of reasons for leaving.

Bring somebody back

A returning contractor gets a new engagement, not a new contact.

  1. Make sure the earlier engagement has an end day.
  2. Put the same contact on the roster again.
  3. Give the new start day.

One person cannot have two engagements at the same time. KitNDocs refuses overlapping dates and names the engagement that conflicts.

Give a start day for a second engagement. An empty start day reaches back before your record began, so it usually overlaps the old engagement.

Correct an engagement

You can correct the start day, end day or note on any engagement.

  1. Open the Staff page.
  2. Find the engagement.
  3. Select Change.
  4. Change the wrong field.
  5. Select Save the correction.

A correction adds to the record. It does not replace what stood before.

A contact does not have to be a person. The shop and Club stock can be contacts. Choose carefully before you put a contact on the roster.

Each contact has a page of its own. Select the name on the Contacts page to see what that contact holds.

You cannot move an engagement to a different contact. If you put the wrong contact on the roster, end the engagement and record the correct person.

KitNDocs cannot delete a contact.

Manage members in your organisation profile, which opens from Settings. The Staff page does not invite people, remove logins or change roles.

What this page does not do

The Staff page records employment periods only.

It records no certificates, ratings, medicals or training.

Nothing on the Staff page can come due or take equipment out of service.

The morning briefing does not use the Staff page.

KitNDocs records who changed an engagement, but no page shows that record yet.

You cannot delete an engagement. You can correct it or end it.
