Attaching photos and files to an issue

How to add photos and files to an issue, who can see them, and how to void one

What it is for

An issue records what somebody found. A photo helps the next person see the same thing.

You can attach a photo or PDF when you raise the issue or later. A later file does not reopen or change the issue.

While you raise the issue

Nothing is attached until you record the issue on the final step.

If you leave before that, KitNDocs attaches nothing.

You cannot label a photo during this step. Add a label later from the issue record.

Attach a file later

  1. Open the equipment record.
  2. Open Issues.
  3. Find the issue.
  4. Open Photos & files.
  5. Press Attach photos or files.
  6. Choose up to 10 files.
  7. Add a label to any file if it helps.
  8. Press Attach.

The files start sending as soon as you choose them. If you press Attach before they finish, KitNDocs waits.

Each label is optional. There is no list to choose from.

File types

KitNDocs accepts photos and PDFs.

A large photo is made smaller before it is sent. A PDF is not changed.

Void a wrong file

Press Void on a file you attached in error.

The record then shows who voided it, when, and why if you gave a reason.

Anyone in your organisation can restore the file for 28 days. After 28 days, the file contents are destroyed and the void note stays.

Void only files uploaded in error. Your organisation may still need to keep real evidence outside KitNDocs.

Who can see it

Members of your organisation can see the file. Nobody outside your organisation can use a copied link.

What this does not do

A file does not change service state. The issue and certificates do that.

A file has no type in KitNDocs. The label is only your word for it.

A file on an issue is not the legal record of maintenance work. Attach that paper to the completed task. See Attaching evidence to a completed task.
