How to edit a task, why changing the rule does not move a due date, and what KitNDocs keeps
Rule and due date
A task has a rule and a due date.
The rule says what must be done and how often. The due date says when this occurrence falls due.
Changing the rule does not move the due date. To move the due date, type a new due date.
Doing the work is a completion. See Recording that a task was done.
Change a task
- Open the equipment record.
- Open the Tasks tab.
- Select the task.
- Press Edit this task.
- Change what is wrong.
- Press Save changes.
Steps
A step is one part of the work inside a task. Steps are optional.
- Press Add a step.
- Type the step.
- Choose Required or Optional.
- Select Needs a file to complete if the step needs evidence.
- Repeat for each step.
A required step must be complete before KitNDocs records the task done. An optional step does not block completion.
A step can require a file. Nobody can complete that step until the file is attached.
Changing steps
Saving new steps replaces the old step list.
If any step was complete, changing the step list makes all steps outstanding again. The form warns you before you save.
If a step has a file attached, KitNDocs refuses changes to the step list. Put the steps back as they were to save other task changes.
If somebody else changed the steps while your form was open, KitNDocs refuses the save. Reload and try again.
Changing the interval
Changing Every changes the rule only.
It does not move this task's due date. It does not move any other task's due date.
The new interval changes what the next completion form offers after the work is recorded.
Moving a due date
Change Next due on the task form and press Save changes.
Use this when you are correcting a date and no work happened.
If the work happened, use Record this done instead. That records a completion and asks for the next due date.
KitNDocs never moves a due date on your behalf.
Usage limits
A usage limit is part of the rule. Remove it and the task stops being measured against it immediately.
Out of service
Takes this equipment out of service when overdue is part of the task rule.
Tick it on an overdue task and the equipment goes out of service. Clear it on an overdue task and the equipment returns to service if nothing else holds it.
A task raised under a defect does not have this checkbox. The defect decides the effect on service. To change that, reassess the defect.
Existing completions
Work already recorded keeps the rule it was done under. A completion is not rewritten when you change the task.
What this does not do
You cannot read task-change history on screen yet. KitNDocs keeps it, but no page shows it.
You cannot say why you changed a task. KitNDocs does not ask for a reason.
You cannot move a task to different equipment. Add a task on the other equipment instead.
A step cannot be numbered, hold a reading or carry a note. It can only require a file.
Renaming a task does not send a briefing again. The briefing already sent keeps the old name.
