The morning briefing
When the briefing is sent, what it says, and who receives it
The morning briefing is one email about your equipment.
The subject and message name KitNDocs and your organisation.
It says what changed since the last briefing and what needs attention now. The dashboard shows the current state in the app.
When it arrives
The briefing arrives at the hour you choose, in your organisation's timezone.
The send runs during that hour, not exactly on the minute. If the run is late, KitNDocs sends later the same day.
KitNDocs sends at most one briefing to an organisation in a day.
Until you choose an hour, the briefing uses 06:00.
Choose the hour and weekday
- Open Settings.
- Choose the hour under When the briefing arrives.
- Choose the weekday.
- Press Save settings.
The weekday is the day KitNDocs sends even when nothing changed. Until you choose one, it uses Monday.
The hour and weekday use your organisation's timezone. If you change the timezone, the send time moves with it.
Which mornings it sends
KitNDocs sends the briefing when there is something to say.
It sends when something new needs attention. For example, equipment goes out of service, a task becomes overdue, or a task enters its warning window.
It sends when something has been dealt with. That line appears once under Cleared since your last briefing.
It sends when the last open thing closes. That is the all clear.
It also sends once a week on your chosen weekday, even when nothing changed.
A quiet weekly briefing shows the chosen weekday, hour, and timezone. It says that it arrives every week even when nothing is due.
A countdown moving by one day is not a change. A task due in 12 days becoming due in 11 days does not send a briefing by itself.
What it says
When something changes, New since your last briefing comes first. Cleared since your last briefing follows when work has closed.
The briefing then gives a summary of everything that needs attention now. A link opens the dashboard.
When nothing needs attention, the briefing says:
Nothing needs attention.
Nothing is out of service, overdue, or due soon.
The remaining work uses three of the groups the dashboard uses:
- Out of service
- Coming up
- Overdue
The dashboard explains what puts equipment in each group.
Each piece of equipment appears once in a group. Every reason or task for that equipment appears below its name.
A model photograph can appear beside an equipment block. The photograph identifies the model, not the individual piece of equipment.
The briefing never says that equipment is late back. Not back is on the dashboard and on the record, and KitNDocs sends no email about it.
Open equipment blocks link to the part of the record that needs attention. Cleared blocks do not link, because they are reported once and then gone.
A usage limit with no warning value stays silent until it is passed.
An issue line says what the person wrote and who wrote it. If that person has left your organisation, the line keeps the words and may show no name.
Who receives it
The briefing goes to the recipients chosen in Settings.
If nobody is chosen, every member receives it. Choosing recipients narrows the list. There is no setting for nobody.
Somebody who leaves your organisation stops receiving the briefing automatically.
Each recipient gets their own copy. One failed address does not stop the others.
There is no unsubscribe link. The footer names your organisation and KitNDocs. Ask an administrator or email support@kitndocs.com to stop the briefing.
Send a test
- Open Settings.
- Find Who the briefing goes to.
- Press Send me a test.
- Check your inbox and spam folder.
A test goes only to you. It ignores the recipient list.
A test changes nothing about the next real briefing.
A test shows everything that needs attention now. It cannot say what is new or cleared because it does not compare with the last briefing.
A test always sends something. If nothing needs attention, it sends the all clear.
What the briefing does not do
The briefing is not a check of your equipment. An all clear means KitNDocs found nothing open. It does not certify equipment as serviceable.
The briefing changes nothing. Use the links to open the record and do the work there.
The briefing does not chase. A task open for a month reads like a task open for a week.
The briefing only carries your organisation's records.
A sent briefing stays as it was sent. Later wording changes do not rewrite it.
