Finding equipment and maintenance schedules

What Search matches, what results show, how you narrow the equipment list by category, and what Search does not find

Search finds your equipment, maintenance schedules, record references and main KitNDocs screens.

What Search matches

For equipment, Search matches:

  • reference, such as E-142
  • marking
  • serial number
  • model
  • manufacturer
  • nickname
  • tag

Type at least two characters. Search ignores letter case.

Some equipment has no model. Search matches the category of that equipment. It does not match the category of equipment that has a model, because the model name and the manufacturer already find it. See Recording equipment with no model.

Nicknames and tags are your own words. See Naming and tagging equipment.

Type a complete reference to open an issue, defect, task or certificate. Examples are ISS-27, DEF-4, TSK-61 and CERT-18.

For maintenance schedules, Search matches the title. It does not search the description or the tasks on the schedule.

For screens, Search matches the screen name. It does not match the page address.

What results show

Equipment results use the marking as the name. If there is no marking, they use the serial number. If there is no serial number, they use the model. If the equipment has no model, they use the category.

The equipment page uses the model as its title. Equipment with no model uses its category. Its reference, such as E-142, sits below the title in smaller text. The reference does not replace the marking, serial number or nickname.

The photograph beside a result belongs to the model, not to the one piece of equipment.

Search shows Out of service when equipment is out of service. It shows no label for in-service equipment.

Search shows up to five results for each kind of record. If there are more, the last row links to the related list.

Narrowing the equipment list

A filter rail sits beside the list. Select Filters to close or open it. On a phone there is no rail, and Filters opens a sheet with the same rows.

Each row in the rail is one filter, with a count on the right. Tick a row to narrow the list to it. Tick it again to take the filter off.

State holds Out of service. Category holds your categories. Attention holds Has overdue tasks. If you have tagged equipment, Tags holds your tags. If equipment is installed in other equipment, Assembly holds Every piece.

A category can sit inside another category. Harnesses can hold Pilot harness and Passenger harness. An arrow before a category says it holds others. Select the arrow to show them.

Tick a parent category and you get everything beneath it. Harnesses shows your pilot harnesses and your passenger harnesses together. The count on the category says the same number.

You can tick one category at a time. Tick a different category and it replaces the one before it.

If the narrowed list holds more than one category, it puts the rows in a group for each category. The category name sits above its group. So you can still see which category each piece came from.

When the rail is closed, the filters that are on stay on screen as chips above the list. Select the cross on a chip to take that filter off. Select Clear all to take every filter off at once.

A category narrows a list and decides nothing else. It moves no date, it makes no task, and it does not change the service state.

Arranging the equipment list

A bar above the list holds four controls.

Find narrows the list as you type. It matches the marking, the serial number and the nickname. It does not match the model or the manufacturer.

Filters opens and closes the filter rail. The number on the button says how many filters are on.

Table, Compact and Cards change how the list draws. Table is the usual view. Compact fits more rows on the screen and hides the tags. Cards shows the photograph of each model.

Display holds Sort, Group and Columns.

Sort puts the list in order. Choose the next task due, the equipment, the marking, or what you added most recently. The list opens on the next task due.

Group splits the list into runs, with a heading for each. Choose nothing, the category, who has the equipment, or the maintenance schedule. Equipment that nobody has is grouped under Nobody. Equipment on no schedule is grouped under On no programme.

Columns chooses what the table shows. The Cards view has no columns, so this control goes away.

Equipment installed in other equipment stays with the equipment that holds it. A group never takes an installation chain apart.

Your choices are in the page address. Copy the address to send somebody the same view. Select the back button to go back to the view before it. KitNDocs does not remember your choices for your next visit.

What Search does not do

Search changes nothing. Open the record to record a reading, raise an issue, complete a task or certify equipment.

Search does not look inside files or file labels.

Search does not find contacts or staff. It finds a task, issue, defect or certificate only when you type its complete reference.

Search does not correct spelling. It looks for the characters you typed.

Search finds only your organisation's records.

A tag in Search is only a match. It says nothing about the service state.
