Attaching evidence to a completed task
How to attach the paper record to a completed task, what KitNDocs accepts, and how to correct an upload
What evidence is for
A completed task says the work happened. The paper record proves it.
Attach the governing body's form, packing card or service sheet to the completion. History then shows the work and the paper together.
KitNDocs does not replace the governing body's form. It indexes the evidence and shows which work it belongs to.
Attach evidence
- Open the equipment record.
- Open History.
- Find the completion.
- Press Attach evidence.
- Choose the file.
- Add a label if it helps.
- Press Attach.
The file starts sending as soon as you choose it. If you press Attach before it finishes, KitNDocs waits.
The label is optional. There is no list of file types to choose from.
You can attach evidence only to work already recorded done. If the task is still open, record it done first.
A step that requires a file is different. Attach that file on the task page before you complete the step.
Late uploads
You can upload evidence on the day of the work or later.
A late upload does not reopen or change the completion. The completion keeps its date. The upload keeps its date.
File types
KitNDocs accepts PDFs and photos.
A PDF is not changed. A large photo is made smaller before it is sent.
Correct an upload
You cannot edit an uploaded file or replace it.
If you uploaded the wrong file, add a second file or void the wrong one.
A voided file shows who voided it and when. Anyone in your organisation can restore it for 28 days. After 28 days, the file contents are destroyed and the note of the void stays.
Void only files uploaded in error. If the file is real evidence, your organisation may still need to keep it outside KitNDocs.
Who can see it
Members of your organisation can see the evidence. Nobody outside your organisation can use a copied link.
What this does not do
The certificate of serviceability takes no uploads. Evidence lives on each completion the certificate covers.
A file has no type in KitNDocs. The label is only your word for it.
KitNDocs does not read or check the form. It does not know whether the paper is complete or signed.
